Terms & Conditions
Effective date: 1 January 2025. These terms govern all bookings made with Carpathian Safari SRL, Brașov, Romania.
1. Parties and acceptance
These Terms and Conditions ("Terms") constitute a binding agreement between Carpathian Safari SRL, a company incorporated under Romanian law (hereinafter "the Company"), and any individual or entity that submits a booking inquiry or reservation ("the Client"). By completing the booking process — whether online, by email, or by telephone — the Client confirms full acceptance of these Terms.
2. Booking and reservation
A reservation is considered confirmed only upon receipt of the deposit specified in the booking confirmation email and the Company's written acknowledgement. All bookings are subject to availability and quota allocation by the Romanian Ministry of Environment. The Company reserves the right to decline any booking without explanation before the deposit is received.
3. Pricing and payments
All prices are quoted in Euros (EUR) and include Romanian VAT at the applicable rate (currently 19%) unless stated otherwise. Full payment of the total package price is required within 7 days of the booking confirmation to secure the dates. Funds are held in your Carpathian Safari wallet account and are deducted automatically as services are rendered. Prices do not include international travel, visas, taxidermy shipment, or CITES import fees in the Client's country of residence.
4. Cancellation policy
Cancellations must be notified in writing to reservations@carpathiansafari.com. If the Client cancels more than 90 days before the expedition start date, the full amount is returned to the wallet, less a €250 administrative fee. If the Client cancels between 30 and 90 days before the start date, 50% of the total package price is forfeited. If the Client cancels fewer than 30 days before the start date, 100% of the total package price is forfeited. We strongly recommend comprehensive travel and hunting cancellation insurance.
5. Expedition conduct and fair chase
The Client agrees to comply with all Romanian hunting laws, regulations, and the Company's ethical code at all times. The Company reserves the right to terminate an expedition without refund if a Client acts in breach of Romanian law, our ethical code, or in a manner that endangers guides, staff, or other participants. The Client accepts that wildlife hunting involves inherent unpredictability; the Company cannot guarantee a trophy harvest and no refund or reduction will be made on grounds of unsuccessful hunting within a properly conducted expedition.
6. Licensing and documentation
The Client is solely responsible for obtaining and maintaining all licenses, permits, passports, visas, firearm permits, and insurance required by their country of residence and Romania. The Company will provide assistance and liaison with Romanian authorities but cannot be held liable for delays or refusals by government bodies. Failure to arrive with complete documentation may result in the expedition proceeding without the affected hunter, with no refund.
7. Liability and force majeure
The Company's total liability to the Client for any claim arising from a booking shall not exceed the total price paid for that booking. The Company accepts no liability for death, personal injury, loss, or damage caused by circumstances beyond its reasonable control, including but not limited to acts of God, government action, weather, wildlife behaviour, epidemic, or equipment failure by third-party suppliers. Clients are strongly advised to hold personal accident, medical, and evacuation insurance.
8. Trophy export and CITES
The Company will apply for and obtain all Romanian CITES export permits for species that require them. Export timelines (typically 21 days post-harvest) are estimates and subject to Romanian government processing times. The Client is responsible for all import permits, duties, and compliance requirements in their own country. Delays or refusals by importing countries are outside the Company's control and do not give rise to any refund.
9. Data protection
The Company processes personal data in accordance with applicable Romanian and EU data protection law (GDPR). Hunter identification documents collected during the booking process are encrypted at rest, stored only for the duration required by law, and shared only with Romanian government authorities where legally required. 10. Governing law and disputes
These Terms are governed by Romanian law. Any dispute arising out of or in connection with a booking that cannot be resolved amicably shall be submitted to the exclusive jurisdiction of the courts of Brașov, Romania. Nothing in these Terms affects any statutory rights the Client may have under the law of their country of residence.
11. Amendments
The Company reserves the right to amend these Terms at any time. The version in force at the date a booking deposit is received shall apply to that booking. The current version is always available at carpathiansafari.com/terms.
